Role Introduction

To actively support the cabin crew employees the base operational functions including pre-flight planning and administration of Safety & Emergency matters in addition to ensuring payroll and benefit administration records are accurate and updated.

Key Responsibilities

Administration

• Effectively deal with Cabin Crew enquiries on various work related matters

• Provide administrative support in an accurate and timely manner including employee travel matters

• Ensure that all recruitment and onboarding processes and systems are seamless

• Maintain all employee personnel and travel files securely and in good order

• Verify petty cash claims and process all bills/invoices for the base office through SAP

• Maintain and accurately update all Cabin Crew information in People Hub ensuring other relevant departments are also notified such as change of bank account or address for payroll purposes to stakeholders as required

• Ensure relevant file letters are issued and filed (i.e. employment letters, confirmation letters after probation, letters for visa application, etc.)

• Handle resignation procedures leaving a favourable impression of the Company

• Update the sick leave tracking file in a timely and accurate manner

Payroll

• Create and update an accurate monthly payroll report

• Collect, format, calculate hours and other payments

• Provide an accurate and complete template for payroll submission with all information required to produce an accurate monthly payroll including allowances, sick leave pay, benefits payments, maternity leave, and other payments

• Create and update the yearly discretionary performance bonus spreadsheet, profit sharing spreadsheet and Hong Kong tax department tax filing spreadsheets

• Complete and keep a file of all Hong Kong tax department and local taxation documents and requests by the appropriate departments and authorities

Operation

• Assist with the day to day operation including liaising with Crew Operations in Hong Kong on sick leave replacement, roster changes, swaps, flight disruptions and provide information and clear communication to Cabin Crew and other departments as required

• Ensure crew report and depart on time and liaise with ground-based employees in regards to any disruptions to flight schedules

• Prepare all pre-flight materials for operating Cabin Crew and assist with administration of Pre-flight Safety and Emergency Questions

• Complete all paperwork related to Hong Kong visa issuance in respect of training and operational duties

• Maintain familiarity with and able to assist crew with all queries related to rostering and operational needs in addition to maintaining up to date regulatory information for crew to access

• Ensure all Cabin Crew travel documents including passports are valid and correctly input into People Hub to avoid operational disruptions

• Any other reasonable task as requested

E&A 

Emergency and Accident and Crisis Response responsibilities as required

Requirements

Academic Qualifications

• Post-secondary school education level in Office Administration and/or Human Resources and Payroll

Knowledge, Skills, Training and Experience

• Computer literacy e.g. Excel, PowerPoint, MS Word

• Strong communication and interpersonal skills

• Understanding of Cabin Crew operational environment and standards (safety, service, etc)

• At least 3 years relevant work experience in the airline industry
