Role Introduction

Report to: Head of Property & Services 

Our Property & Services Department (PSD) includes a team of professional managers who possess professional disciplines in Architecture, Engineering and Facilities Management to focus on building and maintain the roofs and everything under them. The team acts as Centre of Excellence (CoE) in property, building, asset management and transportation subject matter experts.

As the Transport Services Coordinator, you will be responsible for planning and organising Land Transportation Fleet to meet business operation needs. The job scope includes company vehicle procurement, transportation arrangement for Directors, and driver management like rostering and training, etc.

Key Responsibilities

  • Be responsible for all administrative and operational related duties for smooth operation of the transport unit
  • Assist to procure for the purchasing and rentals for all company vehicles and third-party logistics services by seeking quotations from service providers or suppliers
  • Arrange training for drivers to enhance overall safety performance of the transport team
  • Communicate with department secretaries on transportation arrangements
  • Perform administrative duties from preparing budget, reports, duty roster, shuttle
    service routing and schedules, vehicle inventory, fuel consumption, etc.
  • Perform operational duties including driver rostering, driving company vehicles, and handling requests from our directors and John Swire & Sons Group Headquarters, etc.
  • Maintain records of arrangement details in service log with assigned driver, time, and activities, etc.
  • Plan, monitor and proactively remind department users on vehicle inspection,
    licences or certificates renewal, prior planning on preventive maintenance
  • Provide ad hoc services when required
  • Be responsible for maintenance schedule arrangement for all company vehicles, including vehicles owned by other departments, e.g. Flight Operations, Engineering, and Airport Service Delivery, etc.

Requirements

  • Minimum HKCEE / HKDSE qualifications, with at least 5 subjects passed including English language, or equivalent, with good written and spoken English and Chinese
  • Software application knowledge of MS Outlook (email), Word and Excel
  • Valid Hong Kong Driving Licence of Class 1, 2, 9, 10 and 18 for ten years or more
  • At least ten years of driving experience, with clean licence, and relevant supervisory experience
  • Good organizational abilities, with developed time management skills
  • At least 5 years of supervisory experience in managing a pool of drivers
  • Excellent knowledge of transport regulations, basic vehicle maintenance, as well as appreciation of relevant Health & Safety procedures and practices
  • Patience, calmness and re-assuring manner, with good customer care, strong sense of responsibility, and good team player
