Role Introduction

Reports To: Process and Digital Excellence Manager

The Digital Specialist supports the implementation of digital solutions and automation within Global Business Services (GBS) Department. This role focuses on platform configuration, workflow design, RPA build, and quality assurance through UAT and hypercare. Working closely with the Digital Lead, process owners, and IT, the Digital Specialist helps improve user experience, control, and operational efficiency.

The Digital Specialist role also requires strong technical acumen, process understanding, and collaboration skills to advance Global Business Services’ objectives of digital enablement and operational excellence.

Key Responsibilities

Digital Execution and Automation

  • Support the Digital Lead and Process and Digital Excellence Manager in executing digital enablement strategies; and collaborate with the Process Excellence team and SMEs to identify opportunities for automation and AI implementation across business processes
  • Build, test, and document low‑complexity automations, API integrations, and data flows under code review; and plan and execute UAT for assigned scope, including test data, scripts, and defect triage
  • Prepare cutover checklists for low‑risk releases and support structured hypercare

Product and Backlog Support

  • Contribute to near‑term roadmap items and clarify scope with the Digital Lead; and maintain the workstream backlog with clear definition of done and prioritisation

Systems Administration and Configuration

  • Perform day‑to‑day admin activities: access reviews, permission changes, configuration updates; and implement minor enhancements, follow change controls, and perform smoke tests post-release

Stakeholder and Vendor Engagement

  • Communicate status, risks, and blockers promptly for assigned items; and coordinate with vendors on tickets, knowledge base references, and minor escalations

Risk, Compliance, and Security

  • Apply data privacy, access, and change management controls to assigned changes; and perform initial incident analysis and coordinate with IT/security on resolution
  • Keep auditable evidence for configuration, testing, and releases

Metrics and Continuous Improvement

  • Track KPIs at the workstream level: adoption, cycle time, incident rate, automation outcomes
  • Document lessons learned and reusable patterns for future enhancements

Requirements

Education and Credentials

  • A relevant tertiary level qualification and/or recognised qualification appropriate to the role. Equivalent practical experience considered
  • Recognised certifications advantageous: Lean Six Sigma (Yellow Belt or equivalent), Agile, Scrum (PSM/CSM) or Kanban. ITIL Foundation. Cloud or platform certs (Azure/AWS, Power Platform); RPA certs (UiPath/Automation Anywhere)

Professional Experience

  • 3 to 6 years’ experience in digital, systems administration, business technology, or process improvement
  • Hands-on delivery of platform configurations, small to mid-sized enhancements, or automations
  • Exposure to UAT planning, cutovers, and post-go-live support

Technical Skills and Knowledge

  • Working knowledge of SaaS administration and permission models
  • Practical experience with low-code workflow tools, RPA, APIs, and basic data pipelines
  • Familiarity with prompt design and responsible AI usage patterns; and basic analytics and dashboarding skills
  • Effective communication with non-technical stakeholders
  • Team-oriented mindset; receptive to feedback and code reviews
