Role Introduction

To actively support the Senior Vice-President, Americas and Human Resources/People Team, to achieve regional objectives by providing high quality, accurate and timely professional assistance consistent with the operating practices of the organization and external compliance.

Key Responsibilities

  • Manage documents, briefing papers, reports and presentations and assist with data preparation and formatting
  • Coordinate events and employee functions as required (e.g. Annual Conference, Celebrations, Long service Awards, etc.)
  • Provide administrative and logistical/travel support to Senior Leaders throughout the region as required
  • Coordinate tenancy and administrative issues for Expatriate staff
  • Consistently provide high quality administrative and organizational support (calls, emails, mail, diaries/assessing priority of appointments, meeting minutes, expense submissions, etc.)
  • Liaise with building management and manage office facilities as required
  • Provide administrative support to the wider Senior Regional Management team as required
  • Assist People Team with HR-related processes as required, including confidential and accurate recording of employee information in HRIS and other systems and all aspects of on-boarding and off-boarding
  • Assist with day to day initiatives regarding employee engagement, communication and recognition for example coordinating meetings, training, events
  • Manage the local People SharePoint site

  • Certificate or post-secondary degree/diploma in a business related field is an asset
  • Ability to work with all levels of employees effectively
  • Desire to develop expertise in the field of Human Resources and tech savviness are a must
  • Experience with various Human Resources Information Systems is an asset
  • Advanced proficiency in the use of Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Strong organizational and time management skills with the ability to meet tight deadlines and adapt to changing situations
  • Excellent interpersonal skills with demonstrable experience in successful relationship building across remote offices
  • Attention to detail and high-level accuracy
  • Strong written and verbal communication skills
  • Proven ability to deal with confidential and sensitive information with discretion is a must
  • Flexibility in adapting to different management styles
  • Sensitive and responsive to the requirements of different cultures and personalities
