Role Introduction
Reports To: Executive Secretary, DGT
The Administrator assists the Executive Secretary and provides secretarial and administrative support to the General Manager, DGT. The Administrator ensures that services are provided in an effective and efficient manner. Besides the departmental administrative support, the incumbent will also help facilitate department’s event, or any administrative tasks related to the department’s daily operations.
Key Responsibilities
- Provide full spectrum of administrative support to section heads, managers and team members as well as external consultants / service providers, including managing meeting appointments and duty travel arrangements such as flight availability check, ticket issuance and hotel accommodations.
- Coordinate and assist with department related duties including arrangements and correspondences with internal and external parties
- Coordinates department’s regular and ad-hoc events and meetings, including the end to end process owner meetings.
- Handle gifts, travel and other voucher arrangements for guests or any external parties
- Handle any ad-hoc requests from section heads and managers
- Handle and follow up on e-Procurement and invoicing
- Handle payment input in system including overtime or other payments if required
- Maintain department’s records keeping including filing system and data management
- Liaise and follow up with facility management for any office facilities & management issues
- Coordinate the ordering and distribution of office equipment including computers, mobiles as well as stationery, name cards and any other items
- Handle the applications for, and cancellation of, access to various IT systems and access rights for department’s team members
- Assist with office renovations or relocations if necessary
- Ensure smooth running of daily office administration
Requirements
- HKCEE / HKDSE with formal secretarial training or equivalent qualification
- Minimum 3 years of secretarial/ administration experience
- Strong planning and organizing skills and attentive to details
- Ability to work independently and a good team player
- Fluent in both written and spoken English and Chinese
- Proficiency in MS Office (Word, Excel, PowerPoint and Chinese Word Processing)
